Terms of Service

These terms govern your use of caseload.cloud ("the Service"). By creating an account, you agree to them. If you don't agree, don't use the Service.
What the Service is
caseload.cloud is a planning and organization tool for special education caseloads — tracking IEP deadlines, goals, services, and related information you enter yourself. It is notan official student record system and isn't a substitute for your school or district's required IEP, SIS, or compliance systems. You're responsible for meeting any legal or district recordkeeping requirements independently of this tool.
Accounts
You must provide accurate information to create an account and are responsible for keeping your login credentials secure. You're responsible for all activity under your account. Let us know right away if you suspect unauthorized access.
Your data
You own the data you enter into the Service. We store it so the Service can show it back to you and don't use it for any other purpose — see the Privacy Policy for details.
Use student initials only — never full legal names. The Service does still handle sensitive education-related information you enter (IEP dates, disability category, parent/guardian contact details), so it's your responsibility to follow your district's policy on using outside tools with that kind of information — see Security and our Data Processing Agreement if your district needs one.
Subscriptions & billing
New accounts get a 30-day free trial — no payment method required. After the trial, continued use requires an active subscription, billed monthly or annually through our payment processor (Stripe). Subscriptions renew automatically at the then-current price until you cancel.
You can cancel any time from the Billing page; cancellation takes effect at the end of your current billing period, and you keep access until then. We don't provide refunds for partial billing periods except where required by law. We'll give you reasonable notice by email before any price change takes effect for your account.
Acceptable use
You agree not to:
- Use the Service for anything unlawful
- Enter full student names or other protected personal information about students
- Attempt to access another user's data or account
- Reverse-engineer, scrape, or interfere with the Service's normal operation
- Resell or provide the Service to others without our agreement
Termination
You can stop using the Service and cancel your subscription at any time. We may suspend or terminate accounts that violate these terms or go unpaid after a subscription lapses. You can request deletion of your account and data at any time — see the Privacy Policy for how.
Disclaimers & limitation of liability
The Service is provided "as is," without warranties of any kind. We don't guarantee it will be uninterrupted, error-free, or fit for any particular compliance purpose. To the maximum extent permitted by law, caseload.cloud isn't liable for indirect, incidental, or consequential damages arising from your use of the Service, and our total liability for any claim is limited to the amount you paid us in the 12 months before the claim arose.
Changes to these terms
We may update these terms as the Service changes. We'll update the date at the top of this page when we do; continued use after a change means you accept the updated terms.
Governing law
These terms are governed by the laws of the state in which caseload.cloud's operator resides, without regard to conflict-of-law principles.
